Senior Coordinator- HR and Client management

Video Volunteers (VV) is an international community media organization that believes that who tells the story is as important as what the story is. Voicelogue Private Limited is a private limited company and a service partner to Video Volunteers. This position will be on the rolls of Voicelogue and work primarily on VV contracts/projects.

 

Primary Aim

The primary aim is to manage the relationship between Voicelogue and its clients by being involved in drafting of contracts, helping prepare quarterly plans, tracking and storing information and writing the quarterly and annual reports to the client and managing the HR function of the organization

 

Client Management

Work closely with the Voicelogue directors to understand the priorities for the quarter in line with the annual plan and signed contracts

Write the quarterly plan for VPL and ensure it is linked to all relevant documents and data sources

Keep track of the various organizational deliverables for the quarter and collect and archive  information periodically from different sources such as the database, strategic area leads and staff for use in the quarterly report

Remind Voicelogue staff and strategic area leads if they’re falling behind on any of the deliverables

Write the Voicelogue quarterly report at the end of every quarter

Resolve queries raised by the client regarding the quarterly report in consultation with the Voicelogue directors and area leads.

Write other funder/client reports as needed.

 

Human Resources

Be the first point of contact for all HR related queries

Assess organizational staff needs in consultation with the directors and take necessary steps to recruit the right candidates.

Be responsible for staff retention and happiness

Design and organize trainings and inter-team workshops

Resolve inter-staff conflicts following a conflict resolution process and document each conflict with a closure report

Understand the organization’s rules related to sexual harassment in the work place and consult with our Internal Complaints Committee (ICC) should they seek advice.

Monitor office discipline in the context of our policies of staff behavior and highlight issues if any.

Coordinate and organize the annual performance assessments.

Write organizational policies and procedures related to HR. Draw the organogram (organizational structure) and keep it updated

Write and update JDs

Maintain a record of staff birthdays and other special days and use budgeted amounts to arrange for celebration and cakes.

Manage employee contracts by keeping track of when contracts are ending and initiating the renewal process

Manage employee records and files.

Maintain Human Resources records by recording new hires, transfers, terminations, promotions, changes in remuneration, changes in job classification and designations etc.

Maintain records of leaves, travels, compensatory offs, maternity leaves and other offs. Calculate monthly pays based on attendance.

Be the point person for office Internet, electricity, phone and other utilities. Make sure the bills are paid on time and without delay. Maintain a database of phone numbers to call in case of problems related to utilities.

Be responsible for the maintenance of the office premises- make sure it is clean, tidy and presentable at all times.

 

Qualifications

3 to 7 years of experience in the development sector or in the private sector in HR, communications or operations

Excellent English writing skills

Excellent Hindi reading and speaking skills

Process orientation

Ability to multitask and keep track of various deliverables and projects

Knowledge of Excel, PPT and other office suite. Advance knowledge of Excel desirable.

Mature, respectful and calm demeanor

 

Location: Although at the moment in light of the COVID situation we are working from home, this position will be based at our head office in Goa and the candidate must be willing to relocate as soon as the situation improves. The position may involve occasional travel

 

Salary: INR 30,000 to INR 40,000 per month depending on the experience
